A digital closing, sometimes referred to as a virtual closing or online closing, is the process of having your real estate purchase, refinance, or sell documents notarized online with a commissioned notary public. There are still some title companies and underwriters that have not conducted online notarization for their closings. Therefore, you should find a title company that knows the process and approves of online closings before you consider an online real estate closing.

Once you have found a title company or law firm that allows digital closings, you will need to find out if they will handle everything for you or if you will receive the documents, set the appointment, and upload your documents yourself. If you are handling everything and you wish to have the remotely notarized closing package emailed to someone other than yourself, please let us know. If the title company and/or law firm will be handling the closing, we will work with both you and the title company.

Once you have scheduled the appointment, you will receive an email from one of the Virginia commissioned notaries. They will send you all the details you will need. This email will include your meeting details and how to validate your identity. If you are an individual with a SSN, you will not only validate your identity through a biometric & credential analysis identity verification process, but a knowledge based authentication (KBA) as well. This may sound scary or intimidating, but there is no need to worry—we will be there to help. You can email your notary or give us a call so that we can assist you through the steps.

The next step in the process will be for you to meet with your online notary public. Our remote notaries will typically serve as one of your witnesses if it is required. So do not be surprised if you have two remote online notaries on your session. You will be asked if you agree to use electronic signatures and then proceed to electronically sign the documents needed. Then your part is done!

Following that step will be the remote online notarization. This entails your Virginia Notary Public adding their signature and notary seal to each notarial certificate. Each signature and seal will be linked to a digital certificate to ensure your document has been tampered proof. Once the electronic notarization is completed, you or the title company/law firm will receive two emails with details on how to retrieve and download your notarized document.
